General

The Executive Director, herein know as ED, desirably should have qualifications of a similar nature to one already holding that position for another organization presently or in the past, but this is not a prerequisite. Knowledge and background in sustainability issues highly desirable, such as being a LEED AP. Skills required are: excellent communicator, technical knowledge of electronic programs, independent worker. Presently the ED needs to have a home or remote office and attend all board and executive meetings and major functions. Initial hours are flexible depending on the services needed.  An ED shared with other organizations is possible. The position is for an independent contractor - not an employee. 

If a GreeningUSA office becomes available, the ED shall have the option to perform services substantially from that office.The ED shall become thoroughly familiar with the GreeningUSA history, documents and membership and shall prepare a financial plan with various options on how to achieve the financial goals indicated below in item 4, Budget and Finance.

Purpose

GreeningUSA’s Executive Director is responsible to the Board of Directors for leading the activities of the organization toward fulfillment of its mission, in accordance with its strategic plan and organizational values.  

Responsibilities

The primary responsibility of the Executive Director is to develop and implement GreeningUSA’s strategic plan. Tasks include: 

1. In communications, research and services, the Executive Director:

·         Serves as one of GreeningUSA’s lead spokespersons

·         Assists and oversees the project managers in conducting research for GreeningUSA’s 12 Traits document and other publications

·         Assists and coordinates project managers and contracted consultants in providing contracted services related to the 12 Traits, Sustainability Academy or other projects

·         Maintains communications with the board and membership for minutes and records

·         Coordinates maintenance of the website(s) and other electronic communications and Internet communications and possible Wikis related to the 12 Traits or other projects

·         Maintains a working knowledge of significant developments and trends in the field. 

2. In relations with staff, the Executive Director:

·         Spearheads work planning. Assists and oversees the work and services of the project manger of the of 12 Traits and any other project managers.

·         Coordinates the recruitment, employment, and release of all personnel, both interns and volunteers

·         Ensures that job descriptions are developed, that regular performance evaluations are held, and that sound human resource practices are in place.

·         Promotes active and broad participation by volunteers in all areas of the organization's work 

3. In budget and finance, the Executive Director:

·         In cooperation with the finance committee, treasurer and accountant, is responsible for developing and maintaining financial records according to sound financial practices and in accordance with the by laws

·         Annually in cooperation with the treasurer and finance committee, prepares and submits a proposed budget to the Board for approval

·         In collaboration with the board, secures major donor funding and is responsible for the portion of fund raising necessary for the ED’s salary and indirect costs. It is anticipated that the organizations’ income will come from membership dues, services provided to communities and from grants and sponsorships. In collaboration with the finance committee, the ED will be the chief fund raiser in regard to raising these funds and  managing any contracts and payment applications not specifically assigned to project managers with monthly updates to the board

·         Cultivates relationships with, and solicits support from funders and reports actions at monthly board meetings.

·         Works with the finance committee toward the goal of operating within its approved budget.

·         Works with the selected payroll service to facilitate employee and contractor payments, record keeping and tax payments. 

4. In governance, the Executive Director:

·         Serves ex-officio on Board, if not a board member operating under the provisions of the by laws

·         Assures that the organization makes consistent and timely progress on its strategic plan 

·         Helps to identify and recruit board members

·         Promotes active and broad participation by board members

·         Organizes and maintains corporation records

·         Assists and directs the organization’s legal council in any required activities

·         Maintains and adheres to the Administrative Manual 

5. In Membership, the Executive Director:

·         Maintains complete membership records

·         Solicits new individual and community memberships locally and on a national basis

·         Develops membership relations policies and benefits

·         The membership/grant goal is to develop an ongoing funding stream within 12 months which will support the costs of the ED, and a director of communications 

The Evaluation Process

The Board will review the EDs performance as often as every three months, but no longer than annually, against specified goals for advancing GreeningUSA’s mission through steps in accordance with its strategic plan.
